   ADMISSION, RECORD & PROMOTION UNIT    ADMISSION, RECORD & PROMOTION UNIT

In line with the objective of the university to achieve the world class status, the Academic Affairs Department has established several units with specific tasks and purposes. One of the most important unit in the Academic Affairs Department is Admission, Record & Promotion Unit which plays important role in ensuring the smooth running of new students’ admission, monitoring of students’ record and managing academic promotion activities within the country.

Functions

  1. To administer the procedures of full time students’ admission, mobility, dual degree for both local and international.
  2. To manage and participate in promotion programmes/ local and international outreach programmes.
  3. Secretariat of:
    i) Admission Committee Meeting
    ii) New students academic registration
  4. To Manage and Coordinate:
    i) Change of programme
    ii) Change of university request
    iii) Change of Mode of Study request
    iv) Defer Registration of admission
  5. To coordinate the administration procedures and financial regulations with regard to the Admission, Record and Promotion Unit.
   LECTURING UNIT    LECTURING UNIT

The Lecture Unit regulates and manages the affairs of scheduling and courses offered to the students of Universiti Utara Malaysia. The unit is headed by an Assistant Registrar and assisted by six Administrative Assistants (Clerical/Operation), who are always available to help students with lecture-related issues.

The Lecture Unit is responsible for handling all matters related to UUM students lecture which include the following:

  1. Set the lecture scheduling timetable of students every semester.
  2. Handle matters related to add / drop of courses for students.
  3. Handle matters related to the registration of students every semester.
  4. Handle matters related to courses offered by School of Studies.
  5. Handle matters related to credit transfer request by students.
  6. Handle matters related to course withdrawal.
  7. Handle matters related to course registration and changes involving students under the mobility programme.
  8. Manage the registration and course offerings for the intersession semester.
   EXAMINATION UNIT    EXAMINATION UNIT

The Examinations Unit is a unit in the Academic Affairs Department (JHEA) responsible for all aspects of student examinations. This unit is headed by an Assistant Registrar and assisted by an Assistant Administrative Officer, four Administrative Assistants (Clerical/Operations) and two Assistant Publication Officers.

Examination Unit is an important unit and responsible in managing student examinations as well as all matters pertaining to their marks and grades also their result before they graduate.

The following are the activities in this unit: -

  1. Managing examinations to students for every semester.
  2. Managing student’s grades and marks.
  3. Examinations Committee Meeting and announcement of examination results every semester.
  4. Managing matters related to academic dishonesty conduct.
  5. Managing the printing, packaging and distribution of exam questions.
  6. OMR scanning arrangements.
   CONVOCATION UNIT    CONVOCATION UNIT

Unit Pengijazahan merupakan unit yang bertanggungjawab dalam menguruskan pengijazahan pelajar-pelajar UUM. Unit ini diketuai oleh seorang Penolong Pendaftar dan dibantu tiga (3) orang Pembantu Tadbir (Perkeranian/Operasi) yang mempunyai pengkhususan tugas masing-masing iaitu:-

Semakan Pengijazahan yang melibatkan penyelarasan semakan sebanyak 40 program pengajian bersama-sama dengan 16 buah Pusat Pengajian di UUM.

  1. Urusan Cetakan Transkrip Akademik Sementara dan Surat Jangka Tamat.
  2. Urusan Cetakan Surat Tamat Pengajian serta Skrol serta Pengesahan Tamat Pengajian.
  3. Urusan Pentadbiran dan Hal Ehwal Mesyuarat

FUNGSI

Unit ini merupakan penggerak utama universiti dan bertanggungjawab dalam pengurusan data pengijazahan bagi tujuan pengesahan senarai pelajar yang layak bergraduat serta semua urusan yang berkaitan dengan perkhidmatan/aktiviti pengijazahan pelajar.
Skop: Data pengijazahan pelajar, pengesahan graduan, menyelaras senarai penerima anugerah
Tugas-tugas Unit Senat dan Pengijazahan:

  1. Urus setia Mesyuarat Jawatankuasa Perancangan Akademik Universiti, Mesyuarat Jawatankuasa Pengijazahan, Mesyuarat Jawatankuasa Pelaksana Konvoeksyen Universiti, Mesyuarat Jawatankuasa Ijazah Kehormat dan Profesor Emeritus, serta Mesyuarat Jawatankuasa hadiah Universiti.
  2. Mengurus dan menyelaraskan :
    i) Semakan pengijazahan
    ii) Menyelaras penyediaan nama graduan bersama Unit Pasca Siswazah.
    iii) Pencalonan dan penerimaan Ijazah Kehormat dan Professor Emeritus
    iv) Pencalonan dan urusan penerimaan graduan penerima hadiah dan anugerah
    v) Cetakan dan penyerahan sijil dan transkrip graduan.
    vi) Surat Tamat Pengajian, dan transkrip Sementara
  3. Urus setia Majlis Konvokesyen UUM.
  4. Urusan Pentadbiran Unit.
   GRADUATE STUDIES & INTERNATIONAL UNIT    GRADUATE STUDIES & INTERNATIONAL UNIT

Berfungsi sebagai:

  1. Menjadi pusat rujukan hal-hal berkaitan program pascasiswazah
  2. Menyelaras aktiviti akademik program pascasiswazah
  3. Menguruskan penyediaan/penyenggaraan sisten GAIS
  4. Mengurus dan menyelaras aktiviti promosi program pascasiswazah
  5. Mengurus dan menyelaras hal berkaitan Konvokesyen pelajar pascasiswazah
  6. Sekretariat Biasiswa Pascasiswazah UUM dan Biasiswa Naib Canselor
  7. Sekretariat Mesyuarat Jawatankuasa Ijazah Lanjutan UUM
   ACADEMIC EXCELLENCE DEVELOPMENT UNIT    ACADEMIC EXCELLENCE DEVELOPMENT UNIT
  1. To be a reference expert in curriculum development and academic programmes.
  2. To review all proposal papers for new academic programmes and to undertake programme curriculum reviews based on the specifications stipulated by the Senate, the Department of Higher Education and MQA.
  3. To evalute the needs to streamline, withhold or discontinue any academic programme(s) and to manage any of said programme(s).
  4. To prepare the guidelines on academic development and administration in accordance with the policies issued by the Department of Higher Education and the Malaysian Qualifications Agency (MQA).
  5. To ensure compliance to the outcome-based education (OBE) during curriculum preparation process.
  6. To strengthen the continuous quality improvement (CQI) process in the implementation of assurance of learning (AoL).
  7. To coordinate the process of preparing documents on the quality assurance.
  8. To coordinate all SULAM activities at UUM.

FUNGSI

  1. Memastikan kejayaan KPI Pelan Strategik jabatan.
  2. Urus setia kepada Mesyuarat Senat Universiti, Mesyuarat Eksekutif Jabatan, dan Mesyuarat Jawatankuasa Kualiti Jabatan.
  3. Mengurus hal ehwal kewangan seperti belanjawan, perolehan, bayaran, tuntutan perjalanan, panjar wang runcit.
  4. Urusan penyediaan myPortfolio, Diskripsi Tugas Kakitangan dan Carta Organisasi Jabatan.
  5. Mengendalikan Sistem Pengurusan Fail.
  6. Memantau keperluan latihan kakitangan.
  7. Mengendalikan rekod cuti dan kehadiran kakitangan.
  8. Mengendalikan pengurusan aset, inventori dan stor jabatan.
  9. Memantau hal ehwal berkaitan perkhidmatan seperti perkhidmatan kaunter, pertanyaan, cadangan dan aduan pelanggan.
  10. Mengendalikan pelaksanaan program 5S dan KIK Jabatan.
  11. Urusan menyelenggara dan mengemas kini laman Web Jabatan.
  12. Memantau hal ehwal keselamatan dan risiko jabatan.
