CONGRATULATIONS GRADUANS

 

Graduation is a significant milestone in every student's journey. It is the opportunity for the University and family to formally recognise the hard work, and congratulate you on your success. It is also a meaningful time for family and friends, from near and far, to celebrate your achievements and wishing you good luck on embarking a new adventure in your life.

 

The 34th Convocation Ceremony will take place from Sunday, 6 November 2022 to Thursday 10 November 2022 at the Mu'adzam Shah Hall, Universiti Utara Malaysia.

 

In order to ensure the smooth running of this event, here are a few steps that you need to take before attending the ceremony. Please read thoroughly.

  • Graduates are required to return the robes immediately after the awarding session in the Robe Room. The final period for returning robes is given as one week after the Convocation session (17 November 2022).
  • Please refer to the robe return information on the website for reference.

 

NOTE:

  • The robe deposit will be returned within one month from the date the robe is considered returned subject to the following conditions:
  1. Robe returned in complete and perfect condition – Deposit fully refunded.
  2. Robes not returned or lost – Deposit will not be refunded.
  3. Damaged robes, returned incomplete – The price of the item will be deducted from the deposit.
  4. Robes returned later than the specified deadline – Fines for late return of robes will be deducted from the deposit.

GRADUATES ARE NOT ALLOWED TO DO THE FOLLOWING TO THE BORROWED ROBE ATTIRE

  • Exchange it with another graduand’s robe;
  • Making stitches on the RFID of the borrowed robe;
  • Fold the robe.

 

IMPLICATIONS OF THE ABOVE ACTIONS

  • The name of the graduand is not the same as the name of the robe owner;
  • The system cannot read the name of the graduand during the Convocation session.
COLLECTING YOUR ROBE AND MORTAR BOARD

You must wear the official academic dress which is uniquely designed in blue colour (consisting of a robe, a hood, and a mortar board) to your ceremony. The colour of the hood will be different based on the specific programme.

Your academic dress will be available for collection at the Robing Room, Ground Floor, Tan Sri Othman Hall. The schedule for collecting the robe set is in Convo Mobile App.

You may choose to collect your robe individually, or you may send your representative to take it on your behalf. You need to print the Robe Collection Authorisation Form from the Convo Mobile App if you choose the latter.

Only one representative is allowed to take only one robe set per graduand. He/she must follow the schedule for collecting as in Convo Mobile App.

In case of the representative losing the robe, the graduand has to be responsible for the loss. The fine penalty cost will depend on the item lost.

Upon collecting the robe, you/your representative need to show to the staff in charge, the following documents:

  • Payment Slip as mentioned above;
  • Robe Collection Authorisation Form;

It may be useful to bring pins to hold the hood to the robe, and hairpins/pins to affix the mortarboard. Robes cannot be altered and are to be returned as per the given schedule in its best condition.

Robes cannot be tried during collection and modifications to the robe are prohibited to avoid damaging the RFID that shall be used during the ceremony.

Please update your latest personal information as soon as possible to expedite the posting of your stage photos.

The CACE Management team will not be responsible for failure to post out the stage photos if graduands fail to provide the information as requested.

Graduand are required to Face Mask for the duration of the Ceremony.

UUM does not provide facemasks for graduates.

Please use a completely black face mask, for example as follows:

WHEN ARRIVING IN UUM

ARRIVING AT THE UUM ENTRANCE

  • Please enter through the Main Post or UUM Bukit Tangga entrance and follow the following instructions:
  • Slow down when going through the entrance.
  • Show the Session Entry Slip that can be downloaded through the Mobile UUMCONVO application;
  • The Session Entry Slip must also be printed for the purpose of informing staff when entering the campus;
  • Please display the convocation sticker on the dashboard of your vehicle.
  • Provide Convocation invitation cards when requested by the Security Guard.
  • Comply with the safety instructions and directions provided.
  • Comply with the speed limit set by UUM.
  • Graduates are advised to plan their journey to avoid traffic congestion.

VEHICLE MOVEMENT TO MUADZAM SHAH HALL (DMAS)

  • Graduate vehicles will move directly to Muad'zam Shah Hall (DMAS).
  • Comply with the implementation of one-way routes set by the Security Department.
  • Comply with safety instructions issued by the Guards on duty.
  • If there are relatives or graduates who are disabled or need support, please inform the Guards on duty.
  • Graduates and relatives are advised to plan their journey according to the set time or earlier to avoid getting caught in traffic jams.

  • Gathering time information can be found on the Convocation attendance slip in the UUM CONVO application.

GRADUATE ENTRANCE DOOR IN DMAS

  • Graduands must enter DMAS through the designated entrance.
  • Please refer to the information in the seat slip that can be downloaded through UUM CONVO.
  • Please make sure you have put on a full robe attire before entering the hall (and comply with the dress code set before entering the hall) for the purpose of RFID scanning of the robe.
  • Dress code monitoring will be done by staff on duty before graduands are allowed to enter the hall.

ENTRANCE DOOR FOR PARENTS/GUARDIANS AT DMAS

  • Parents/guardians will enter DMAS using the D & E doors

  • Please present the hall entry slip to the reception staff for verification.

  • Children under the age of 12 are not allowed to enter.

  • Parents/guardians are requested to comply with guest dress code as prescribed.

  •  Please be prepared with clothes suitable for the temperature conditions of DMAS.

ENTRANCE SLIP OF PARENTS/GUARDIANS TO DMAS

  • Graduands are requested to confirm their parents/guardians who will enter DMAS through the UUMCONVO application;

  • Graduands of the first session are only allowed to bring five (5) people and other sessions only two (2) parents/guardians registered in the UUMCONVO application.

  • Please make sure that the slip is given to the parents/guardians and presented with identification card as confirmation of the guests in the slip.

VEHICLE MOVEMENT AFTER THE CEREMONY

  • After the convocation ceremony ends, the parents/guardians and graduates are advised to move their vehicles along the designated one-way route and obey the safety instructions issued by the Guards on duty.

  •  If you encounter any problems, you can consult with the Guards on duty.

CONFERMENT OF DEGREES & CEREMONY ETIQUETTES

Note:

NO OPPORTUNITY WILL BE GIVEN TO JOIN THE SESSION AGAIN IF YOU MISS IT.

The schedule of the Conferment of Degrees can be viewed in Convo Mobile App.

Please make sure that you follow the conferment session as scheduled.

Since the ceremony is an official event with strict protocols, graduates must adhere to the rules and etiquettes mentioned below.

HALL ENTRY PASS FOR GUESTS

The guest pass can be downloaded through the UUMCONVO application based on the name that has been registered when confirming attendance. Only guests registered during attendance confirmation will be allowed entry.

Please make sure that the pass to enter DMAS has been given to parents/guardians to present to the reception staff when entering DMAS.

The entrance pass is also a sticker on the graduate's vehicle windscreen when entering the campus.

A graduand is allowed to bring five (5) guests for session 1 and two (2) guests for other sessions.


Please set your mobile phones in silent mode throughout the ceremony. Please observe that taking pictures with flash is not allowed in DMAS. Do not move from your place to take pictures.

The robe and mortar boards should be worn properly in the hall. It is also not proper to leave the hall before the ceremony ends. Please stay quietly to cherish your friend’s achievements and to honour the guests.

All guests are required to wear a face mask while in DMAS.
